A plumber called me last spring. He said he was tired of hearing about AI and had no idea what any of it had to do with a busted water heater in Donelson. Fair enough. Here is the short version, written for somebody who has no interest in the technology and every interest in the phone ringing.
1. Something that answers the phone when you cannot
This is the big one for plumbing. Your work is emergency work. Somebody has water on the floor at eight at night and they are calling three names off a Google search. Whoever picks up first usually gets the job.
An AI answering setup picks up on the first ring, talks like a person, asks where the water is coming from and whether they have shut off the main, gets the address, and texts you a summary. If it is a real emergency it can ring your cell right then. If it is a Tuesday morning water heater quote, it sits in your queue until you are off the job. That is AI lead response, and for plumbers it usually pays for itself faster than anything else I set up.
2. A phone app that holds every customer and job
Not a database. Not an enterprise anything. Just one app on your phone where you can look up the Watsons on Sixteenth Avenue and see that you replaced their pressure regulator two years ago and they mentioned the upstairs bath. See how we set these up for trade businesses.
3. Estimates that go out from the truck
The estimate you send from the driveway closes more often than the one you send Thursday night. There are simple tools now where you pick line items on your phone, it builds a clean estimate with your logo, and the customer signs it with a finger. When they sign, the job hits your schedule and the deposit invoice goes out. That is invoice and scheduling automation.
4. Follow-up that runs without you
Every plumber has a folder full of quotes nobody ever answered. A short text three days later, and another one two weeks later, brings a real percentage of those back. You are not going to send those texts. You are under a house. Set it up once and let it run.
5. A website that shows up and gets tapped
If somebody in Green Hills searches for an emergency plumber at nine at night, they are on a phone, they are stressed, and they are going to tap the first thing that looks legitimate and has a big button. Slow site, tiny text, contact form with eight fields, you lose. A small business website built for phones fixes that.
6. ChatGPT or Claude for the writing you hate
The estimate cover note. The review response. The letter to the homeowners association explaining why the job took two days. What I would do first
If you only do one thing, fix the missed calls. That is where the money is going. Everything else on this list is worth doing, but none of it matters if somebody else is picking up your emergencies.
